Working with Children Check

NIPPER REGISTRATION: IMPORTANT

The 2024/25 season opened on 1 August 2024. Demand is always very high so we recommend prospective Nipper parents get onto the WWCC requirements immediately.

sPOPO BPO Box (inst Working with Children Checks (WWCC) are FREE for volunteers. All the info below applies equally to an Employee WWCC.

 

All adult members (including both Nipper parents, except for genuine one-parent families) must hold a current WWCC AND OGSLSC must be listed on the card as an organisation. We must have received evidence of this BEFORE we can process your nipper memberships. Until then, your applications are pending and you may miss out.

Lifesaving Victoria requires all members who are in contact with children, in the provision of a service or activity, to obtain a valid WWCC before joining a surf lifesaving club.  Only organisations listed against a person’s WWCC are immediately notified of any convictions, etc. This includes police and teachers who are normally regarded as exempt under the Act.

 

The club receives an automatic letter confirming this, approx 10 days following. Memberships can’t be finalised without evidence that OGSLSC is listed on card.

 

To speed up membership processing (ie avoid the wait for the physical letter to arrive), you are welcome to take a screenshot via the above link showing OGSLSC listed with the correct address ie PO Box 486 or 28 or 30 Surf Beach Rd Ocean Grove 3226. Email this screenshot to admin@oceangroveslsc.asn.au along with a picture of your actual card or new card confirmation email.

 

If you are unwilling to follow through with WWCC requirements, we cannot accept your membership application.

 

The following are the only exceptions:

 

1. Honorary or Life members who are not involved in regular club activities

 

2. Social Members – lounge access only, not involved in any regular club activities and do not hold a key to the club

 

If you already have a card, you’ll need to go to the above link, Update my Details, then Add an Organisation.

 

Make sure you list OGSLSC’s address as PO Box 486 or 28 or 30 Surf Beach Rd, Ocean Grove VIC 3226 so that the confirmation letter reaches us. We prefer address: PO Box 486 OG but it seems WWCC may have recently dis-allowed PO Box addresses.

Renewing members: WWCCs last five years, so once your database record has your current card info and club link has been verified, no action is usually needed as long as you renew the card. Each time a WWCC is renewed, OGSLSC should receive an automatic letter verifying the renewal, as long as we remain listed as an organisation. If you don’t renew a card within 3 months of it expiring, and have to apply for a new card, OGSLSC will need to be correctly linked on the new card.

 

You can renew a card up to six months prior to its expiry date. Not a bad idea, to ensure you continue to be covered!

 

New cards Make sure you include OGSLSC as an organisation, with address: PO Box 486 or 28 or 30 Surf Beach Rd, Ocean Grove, when you apply. *Ideally take a screenshot showing OGSLSC listed as you are applying for the card. It takes around four weeks to be processed (and for the letter to come to OGSLSC). This long lead time means you may miss out on a nippers spot, if you rely on the automatic hard copy letter to reach OGSLSC. To speed things up, we suggest going back to https://www.vic.gov.au/working-with-children-check a couple of days after you receive confirmation of your new card. Enter your personal and card details then look for Update my Details then Add an Organisation, and take a screenshot showing OGSLSC correctly listed. Email this pic to admin@oceangroveslsc.asn.au along with the new card confirmation you’ve received. Your actual card will probably take a few more weeks to arrive.

 

Teachers: Life Saving Victoria has updated its WWCC Policy to allow teachers to register OGSLSC through their VIT. Use this link: https://service.vic.gov.au/services/teachers-notifications/ An email is automatically (instantly) sent to the club, confirming. 

 

Troubleshooting: Sometimes letters don’t seem to make it to us! For new/pending members who have paid membership, OG admin will be in touch once a letter is received. If you haven’t heard from us, or OGSLSC admin advises you that we haven’t received a letter despite OGSLSC showing up in MyCheck as an organisation on your card, we recommend that you delete OGSLSC, then ‘add organisation’ again with correct address as above (this should kick off a letter).

Email this screenshot to admin@oceangroveslsc.asn.au along with a picture of your actual card or new card confirmation email.

 

Turning 18: 17 year old members will receive an email reminding them to apply for a WWCC. Please action this as soon as possible – you can apply for a card well before turning 18. Access fob will be turned off if requirements haven’t been met by the time they turn 18.

Please be aware, we do not guarantee follow up about outstanding elements. The onus is on families to complete all requirements if they wish to join our Nipper program.   We do understand it can be a tricky process to navigate, so you are welcome to email us with any queries.  We will reply as soon as possible.  Processing is based on first-in-best-dressed once all of the above steps have been completed. Families that we cannot fit in, will be offered full refunds (or the option of conversion to social membership for parents).
